How do I automatically assign tickets to users?

If you get a lot of maintenance requests, you probably know that it can be very tedious and time-consuming to have to manually assign each of them to the appropriate person.  Thankfully, with ManageGo, you don’t have to do that; instead, you can use our system to make sure each ticket gets automatically assigned to the correct user as soon as it comes in.  Here’s how to get started:

How to use auto-assign

To automatically assign maintenance tickets to users:

  1. Click on the Settings tab in the left-side menu.
  2. Click on the Maintenance tab at the top of the Settings page and then on Auto-assign tickets.  Here, you’ll be able to view the current auto-assignment settings for all users.
  3. To change your auto-assignment settings, click the Switch to edit mode button.
  4. Find the user you wish to automatically assign tickets to, then use the Assign user to building dropdown next to their name to choose which buildings they should receive tickets from.  Note that you can use the All option to select all of your current buildings, or the All existing and future buildings option to select all of your current buildings as well as any buildings you might add in the future.
  5. Click the Save button.
  6. Once you’ve selected buildings, you’ll be able to use the Assign user to specific categories dropdown to select ticket categories the user should receive.  Note again the you can use the All or All existing and future categories options to save time.
  7. Click the Save button.


It’s as easy as that.  Any user you assign in this way will automatically be assigned tickets from the buildings and categories chosen.  It’s important to note that a ticket must both be for a building and for a category that the user has auto-assignment for; if it’s only one or the other, the ticket won’t be assigned.
