Managing anything can become difficult if the situation is disorganized, and maintenance tickets are no different. That’s why ManageGo allows for the creation and use of categories and tags for maintenance tickets. These related but distinct tools will help you sort your tickets and keep track of them all. Here’s how to get started creating your own.
How to add maintenance categories
One way to classify your maintenance tickets is by using categories. Categories are public, and a ticket’s category can be set and seen by tenants. To create a new category:
- Click on the Settings tab in the left-side menu.
- Click on the Maintenance tab near the top of the Settings page and then on Categories and tags.
- At the top of the Categories section, click the Add New button.
- Enter a name, select a color to have associated with the category, and use the dropdown to specify which users should have access to this category.
- Click the Save button.
How to add maintenance tags
Another way to classify your maintenance tickets is by using tags. Tags work very similarly to categories, with two key differences. First, tags cannot be seen by tenants. A tenant who creates a ticket won’t know what tags, if any, have been applied to their ticket.
Second, a ticket’s tag(s) won’t affect which users can see it. You won’t be able to limit user access or auto-assign tickets based on tags. To create a new tag:
- Click on the Settings tab in the left-side menu.
- Click on the Maintenance tab near the top of the Settings page, then on Categories and tags.
- In the Status tags section, click the Add New button.
- Enter a name and select a color to have associated with the tag.
- Click the Save button.
Once you’ve created your categories and/or tags, they’re ready for you to use. You can apply them to any existing ticket, or to any new one you create. Tenants will also be able to apply your new categories to their own tickets.
Editing categories or tags is easy too. From the Settings page, just click on the category or tag you want to edit. This will bring up a small window where you can edit the category or tag’s name, color, and, for categories, user access. Once you click the Save button, your changes will be applied.
